It may be difficult to break the bad news to a prospective tenant that they do not in fact, meet your requirements. Because of this difficulty, you may be tempted to simply move on to the next prospect without informing a denied prospect of his/her status. Do not give in to that temptation as the Fair Credit Reporting Act requires anyone who runs a credit report/check/screening to share the results of that report and the reason for the denial.
Our standard Application Denial form is in direct compliance with the US Equal Credit Opportunity Act and the Fair Credit Reporting Act. Now you no longer have to worry about being in compliance or spending your time figuring out the appropriate words to say in your denial letters to prospects.
Creating the form is a simple process and makes it easy to generate your letters in the same day. You can choose to leave the form the way it is or make use of our customized document which allows you to type all of your own text for those occasions when you want to offer more of an explanation than the template offers.
Generating this type of form is for the protection of both you and your prospects. Therefore, maintaining a copy for yourself is as important as providing a copy to your prospects. As a landlord/property manager, you can never be too careful.
Remember to always maintain a copy for at least three years. Keeping all denied applications in a file folder with easy access is a good idea and will be convenient for any staff member or other authorized party to access in your absence, should there ever be an audit of your records.
Like most of our forms, both the standard and customized Application Denial forms are completely editable. You are also able to view the form before deciding whether or not it will work for you.
